Employment Procedures
Once you have been approved by your faculty member and Jeffery Dubinski-Neessen, please follow the procedures outlined below.
There are two kinds of referral forms; one for students with work-study awards, one for students who do not qualify for work-study.
- See Mary Dewey in Room 3110 for instructions on how to complete the application for your position at the School of Law.
- Complete a W4 Form.
- Complete a I-9 Form.
- Complete the Demographic Form.
- Complete the online Customer Service Training.
- Deliver the forms, along with your driver’s license and social security card, or your United States passport, to the Student Employment Office in Mesa Vista Hall, Student Services.
- If you have more than one job on campus, you will also need to complete a Two Job Memo. For example if you have a position in the law library and will also be working as a research assistant or tutor at the law school, you will need to complete this form.
After you have completed these steps, you must return the completed referral form to Mary Dewey. You will then be placed on a payroll and may begin to work. Do not work until you have completed all of the above steps. You will not be paid unless you are authorized.
Time Sheets
Use the correct time sheet. It is your responsibility to secure signatures and turn in your time sheet within the payroll period. Completed time sheets must be signed by your supervisor and turned in to the Law School receptionist one day prior to the due date. You must also sign the green Student Payroll Time Report when you turn in your time sheet.
Late time sheets will be processed with the next pay period. Refer to the Payroll Schedule for payment dates.
Direct Deposit
Use the Online Direct Deposit Instructions or fill out a Payroll Direct Deposit Form located at Student Employment Hiring Forms. If you do not have your check directly deposited into your banking account, it will be mailed to the address UNM has on file. You can make address corrections via myUNM.
Breaks
Student employees are entitled to one 15-minute break during each four hour work period. Employees are not paid for lunch breaks.
Time Sheet Instructions
When you click the Standard Timesheet, you will see the File Download Box which asks you to open or save the file.
- Select Open
- Type your BannerID and press Tab
- Type your name and press Tab
- Select the first day of the pay period from the drop-down list and press Tab
- Enter the Law School TimeKeep Org: 588a
- You will be placed at the top of the Time Entry area
- Use tab, mouse, or arrow keys to get to first time IN
- Type the time IN (see below for help) and tab
- Type the time OUT and tab
- The In/Out Calc computes the hours worked
- Continue to enter time for other days
Entering Your Time
You must enter the time as morning or afternoon. The easiest way to do this is to enter it in this way: 8:30, space, a = 8:30 am or 4:15, space, p = 4:15 pm. Be sure to enter a space between the number and the letter.If you are entering 8 am, you only need to type: 8, space, a. The minutes are not necessary.
Reusing Your Time Sheet
Once the top of the sheet has been completed, you might wish to save it and just re-use it every two weeks. When you save it, change the Save as type box to Microsoft Office Excel Workbook (*.xls). Often you will only have to change the date. If you wish to erase all the spreadsheet entries, click the Reset button.
